Terms of Service
Last updated: 13 October 2026
These terms govern your use of Plant Passport Ops (the “Service”), available at plantpassportops.app. The Service is provided by Mika Heinonen, Lahti, Finland (“we”, “us”). Contact: hello@plantpassportops.app.
By creating an account, connecting a store or subscribing, you agree to these terms. If you use the Service on behalf of a business, you confirm you are authorised to bind that business.
1. Who the Service is for
The Service is a business tool for plant sellers. It is not intended for consumers. By using it you confirm you are acting for the purposes of your trade or business.
2. What the Service does, and what it doesn’t
The Service helps you import orders, match items to plants and traceability codes, generate printable plant passport labels and keep a searchable record of batches.
- You are responsible for compliance. You must hold any authorisation required to issue plant passports (for example from APHA/Defra in Great Britain) and you are responsible for the accuracy of every label and record you produce, including botanical names, registration numbers, traceability codes and countries of origin.
- No official status or legal advice. We are not affiliated with APHA, Defra or any government body. The Service does not grant authorisation, verify your data with any authority, or provide legal or regulatory advice. Always review labels before use.
3. Accounts
You must give accurate information, keep your sign-in details secure and tell us promptly about any unauthorised use. You are responsible for activity in your account.
4. Plans, prices and payment
- Plans: Free (£0, up to 20 plant passports per month), Starter (£9 per month, up to 250) and Pro (£19 per month, up to 1,000). A “plant passport” is one printed label copy. Usage resets on the 1st of each calendar month (UTC).
- Prices exclude VAT and any other applicable taxes, which are added at checkout where required.
- Billing: paid plans are sold and billed by Stripe as our reseller and merchant of record (Stripe Managed Payments). They are billed monthly in advance and renew automatically until cancelled. Stripe’s terms apply to the purchase itself.
- Going over your limit: we do not stop the Service if you exceed your monthly limit. We show a notice and may suggest a larger plan. If usage is repeatedly and substantially above your plan, we may contact you to agree a suitable plan.
- Changing plans: upgrades take effect immediately and are charged pro rata for the rest of the period. Downgrades and cancellations take effect at the end of the current billing period.
- Failed payments: if a payment fails and is not resolved within 14 days, we may move your workspace to the Free plan. Your data is not deleted.
- Price changes: we give at least 30 days’ notice by email before a price change affects your subscription. You can cancel before it takes effect.
- Store connections (Shopify and Etsy) are included on every plan, including Free. We do not charge for connecting a store or importing its orders.
5. Cancelling, pausing and refunds
- You can cancel at any time from Plan & billing → Manage billing. Your paid plan stays active until the end of the period you have paid for, then your workspace moves to the Free plan. Moving to Free is also how you pause during the off-season.
- Refunds: payments are non-refundable, including for partially used periods, except where there has been a billing error, where the Service has been materially unavailable for an extended period because of us, or where the law requires otherwise. To request a refund, email hello@plantpassportops.app within 30 days of the charge.
6. Your data
- You own the data you put into the Service. You give us permission to store and process it only to provide and improve the Service.
- You can export your batch records (CSV and PDF) at any time.
- If you close your account, we delete your workspace data within 30 days, except where we must keep limited records (for example invoices) by law. Please export anything you need before closing your account.
- Our Privacy Notice explains how we handle personal data.
7. Data processing for your customers’ data
When you connect a store or import orders, the Service may process personal data about your customers contained in those orders. For that data you are the controller and we act as your processor. We:
- process it only to provide the Service and on your documented instructions, which are these terms and your use of the Service;
- import only what is needed to print plant passports (order numbers, dates and line items) and do not store your customers’ names, email addresses, phone numbers or addresses from connected stores;
- keep it confidential and protect it with appropriate technical and organisational measures, including encryption in transit and at rest and encrypted store access tokens;
- use only the sub-processors listed in our Privacy Notice, under written terms that offer at least the same protection, and tell you before adding new ones;
- help you respond to requests from your customers and to meet your obligations, and tell you without undue delay if we become aware of a personal data breach affecting your data;
- delete or return the data when you disconnect a store, uninstall our app or close your account, unless the law requires us to keep it.
8. Acceptable use
You must not misuse the Service, including by creating false or misleading plant passports, attempting to access other customers’ data, interfering with the Service’s security or performance, reselling the Service without our agreement, or using it for anything unlawful.
9. Availability and changes
We aim to keep the Service available and reliable, but we do not guarantee uninterrupted or error-free operation. We may change or improve features. If we make a change that materially reduces what a paid plan includes, we will tell you in advance and you may cancel.
10. Liability
- Nothing in these terms limits liability that cannot be limited by law, including for fraud or for death or personal injury caused by negligence.
- We are not liable for loss of profits, revenue, business or goodwill; indirect or consequential loss; or losses arising from inaccurate data you enter, labels you issue without review, or regulatory action relating to your plant passports.
- Our total liability in any 12-month period is limited to the fees you paid us in that period.
11. Suspension and termination
We may suspend or close an account that seriously or repeatedly breaches these terms, after notice where reasonable. You may stop using the Service and close your account at any time.
12. Changes to these terms
We may update these terms. For material changes we give at least 30 days’ notice by email or in the app. Continuing to use the Service after a change takes effect means you accept the updated terms.
13. Governing law
These terms are governed by the laws of Finland. Disputes will be handled by the courts of Finland, unless mandatory law gives you the right to bring proceedings elsewhere.
14. Etsy
If you connect an Etsy shop, the Service reads your shop’s paid orders through the Etsy API with read-only access. The term ‘Etsy’ is a trademark of Etsy, Inc. This application uses the Etsy API but is not endorsed or certified by Etsy, Inc.
DISCLAIMER: THIS APPLICATION IS SOLELY PROVIDED BY MIKA HEINONEN (THE “APPLICATION DEVELOPER”). YOU ACKNOWLEDGE THAT ETSY, INC. AND ITS AFFILIATES ARE NOT THE APPLICATION DEVELOPER, DO NOT PROVIDE THE APPLICATION SERVICE, AND MAKE NO WARRANTIES OF ANY KIND WITH RESPECT TO THE APPLICATION OR DATA ACCESSED THROUGH IT.
