About
Plant passports, designed around how small plant sellers really work.
Plant Passport Ops turns the orders you already have in Shopify, Etsy, WooCommerce or a spreadsheet into printable UK plant passport labels, and keeps a searchable record of every batch you send.

The problem it was designed for
Plants sold online and sent to customers in Great Britain generally need a UK plant passport. For a small nursery or plant shop, that means a label on every parcel and a traceability record kept for three years.
Larger growers have systems for this. Small sellers mostly have templates, rubber stamps and spreadsheets, so the same botanical names and codes get copied again and again, usually after a long day of packing.
- Copying botanical names from order to label, one parcel at a time
- Stamping or handwriting labels late in the evening
- Records in one place, labels in another, and no easy way to match them
How it is designed
Six decisions shape everything in the app.
Start from your orders
Import the order export you already have. No retyping orders into another system.
Enter each plant once
Botanical name, traceability code and country of origin live in your plant catalogue and fill every label from there.
The right format by default
Every label has the “UK PLANT PASSPORT” heading, no flag, and your registration number without a “GB” prefix, as GOV.UK requires.
Labels and records in one step
Each batch you print is saved with its orders and passport details, so the record already exists when an inspector asks.
Made for ordinary printers
Labels come out as a PDF for standard A4 label sheets and common label printers. No special hardware.
Priced for small sellers
Up to 20 passports a month are free. Paid plans are monthly, and in the off-season you can drop back to Free and keep your records.
What it does not do
- It does not register you as a professional operator. You still need your own APHA registration and authorisation, and your own registration number on every label.
- It is not affiliated with APHA, Defra or any regulator, and it does not give legal or regulatory advice.
- Labels show the details you enter. You stay responsible for checking that they are right for each plant.
Free help, with or without an account
The guides and templates are free to use and kept up to date as the rules change, including the expected move to a new plant passport system around 2027.
